Law Image successfully delivers a complex coding project under a challenging deadline.
Our legal technology team received an urgent coding requirement from our client for an ongoing matter. In this particular job, our team received 10,074 documents to be coded, needing additional fields with highly specific instructions.
The task was not a standard coding project but required customised solutions within a highly stringent timeframe.
The project was particularly complex as it included additional field captures in an agreed format. This process was comparatively time-consuming compared to a standard coding project. Among the extra fields, one required our coders to mark documents containing handwritten notes. Another field required specific numbering across all pages of the documents and capturing them as outlined in the client’s protocol.
Additionally, as the project had protocols differing from the standard process, it was necessary to brief and train each coder on the new rules, even if they had previously worked on the matter, to ensure consistency.
We approached the project with a team meeting to cascade the additional instructions carefully to the coders working on the project. A team of 6 coders was assigned to this job, wherein key staff members only worked on this project to ensure we were making speedy progress on it.
The project coordinator ensured the team always had access to special requirements requested by the client and thus provided the coders with a concise manual to refer to the client’s additional instructions and conditions. The team assigned one person to perform live QA over the coding to pick up any errors early in the process, thereby saving time at the final QA for error corrections. This allowed the team to work in an agile manner.
Our legal tech team worked diligently alongside the client to understand their specific requirements, including capturing relevant data and the additional two fields. Upon completion of the coding, the team undertook a final QA and delivered the files to the client on time.
The legal technology team’s efforts and vital communication with the client led to a successful outcome of the project. Further, the client continued to send work for their ongoing matter in later months.
